WAYFINDING MUSIC

1. Enrolment & Registration

  • All new students must have provided the following before commencing enrolment in either the free Discovery month or Membership programs:
    – Parent or guardian contact details
    – Any relevant medical information or allergies
    – Acknowledgement of these Terms & Conditions.
  • A free trial lesson is available to all new students with no further commitment required.
  • Following the trial lesson, students may enrol in the First Month Instrument Discovery Program (Discovery). Enrolment in Discovery constitutes automatic subscription to the Wayfinding Membership, which commences at the conclusion of the free Discovery month. Families may cancel their Wayfinding Membership at any time during the Discovery month with no obligation, payment, or penalty (see Section 8).
  • By enrolling, families agree to abide by all Wayfinding Music policies, including those relating to Child Safe Standards.

2. Programs Overview

2.1 Free Trial Lesson

  • A complimentary 45-minute group lesson is available to all prospective students.
  • No instrument, prior experience, or payment is required.
  • The trial lesson is subject to availability.

2.2 Discovery Program — First Month

  • The Discovery Program is a one-month introductory program valued at $200, but free for 2026 enrolments.
  • The Discovery month runs for 31 days from the date of enrolment. Students will typically attend around 4 lessons during this period, though the exact number may vary depending on public holidays and school holidays. Wayfinding Music will accommodate flexibility where possible to help students get full value from the program.
  • Automatic Membership Enrolment: Enrolment in the Discovery Program constitutes enrolment in the Wayfinding Membership subscription. Families who wish to continue at the end of their Discovery month do not need to take any further action — membership will commence automatically.
  • Cancel Anytime During Discovery: Families may cancel at any point during their Discovery month with no fees or obligations. To cancel, written notice must be provided to info@wayfindingmusic.com.au before the end of the Discovery month (see Section 7 for durther details). Upon notice of cancellation any future music lessons scheduled for that child will immediately be cancelled. 

2.3 Wayfinding Membership

  • The Wayfinding Membership is an ongoing monthly subscription program that runs from February to December (11 billing months per year).
  • Membership is priced at $200 per month, roughly equivalent to $55 per 45-minute session assuming the student attends 40 sessions per year.
  • Membership secures a dedicated weekly place in the program and includes all instruments during sessions.
  • Sessions run weekly during the NSW school term, on Mondays and Tuesdays, between 3:15pm and 6:15pm.
  • Enrolment automatically continues each month unless written cancellation notice is provided in accordance with Section 8. 

2.4 Casual Lessons

  • Casual lessons are available at $65 per 45-minute session, subject to availability.
  • Casual attendance does not guarantee an ongoing place in the program.

3. Fees, Billing & Payments

Discovery Trial and Membership

The 31 day free Discovery Program requires enrollment in Wayfinding Membership.

At enrollment, customers are required to provide a valid payment method via Stripe, our third-party payment processor. Payment details are handled via Stripe and Wayfinding Music has no access to customer’s payment information. No charges will be made during the 31-day Discovery trial period.

Unless cancelled before the end of the 31-day trial period, the subscription will automatically convert to a paid monthly membership at $200 per month, billed immediately after the 31 day period.

Cancellation may be made at any time by providing written notice. Cancellation takes effect immediately and access to lesson services will end at the time cancellation is processed. No payments will be charged following cancellation.

Payments are non-refundable except where required under the Australian Consumer Law.

All payments are processed via Stripe. Payment details are held by Stripe securely, and Wayfinding Music has no access to customer payment details.

Customers agree to maintain valid and up-to-date payment details at all times.

4. Annual Fee Review

  • Wayfinding Music reviews its fees annually. Any changes will be communicated to families in advance and will be communicated with reasonable notice.

5. Public Holidays & School Holidays

  • Lessons do not run on NSW public holidays. Where a lesson falls on a public holiday, Wayfinding Music will endeavour to offer an alternative session time that week or complimentary extended sessions.
  • Lessons do not run during NSW school holiday periods. Monthly membership fees are calculated across 11 months (February–December) to account for school holidays. No further credits or adjustments are made for school holiday periods within the standard billing structure. 
  • Wayfinding Music sessions operate in accordance with the NSW public school term calendar. Sessions do run on NSW Department of Education pupil free days. Sessions do not run on NSW public holidays. Current NSW school term dates are available at education.nsw.gov.au/schooling/calendars/school-term-dates-and-holidays.

6. Missed Lessons

6.1 Student Absences

  • Wayfinding Music does not offer makeup lessons for student absences.
  • Families are asked to notify us as early as possible if a student will be absent, ideally with 24 hours’ notice, via info@wayfindingmusic.com.au. Given earliest possible notice (at least 24 hrs) Wayfinding Music staff will offer flexibility in rescheduling the student to a different session that week, but this will be subject to the availability of other session timeslots. 
  • No credit or refund is provided for student-initiated absences. 

6.2 Teacher Absences / Staff Cancellations

  • In the event a teacher is absent, Wayfinding Music will make every effort to arrange a qualified and suitable substitute to ensure continuity of lessons.
  • If a substitute cannot be arranged, affected families will be notified and a credit will be applied to the following month’s recurring fee.

7. Cancellations & Refunds

7.1 Cancelling During the Discovery Month

  • Enrolling for the First month Instrument Discovery Program represents joining a monthly subscription to Wayfinding Music. Families may cancel their recurring monthly enrollment at any point during the 31 day Discovery month with no further fees or penalties incurred. Written notice must be provided to info@wayfindingmusic.com.au before the end of the Discovery month to avoid paying the next installment. For example, if a student started their discovery month (commencing from their first lesson) on March 10th, Discovery would continue up to and including April 9th. The student’s parent / guardian must provide notice of cancellation on any day up to and including the 9th of April to avoid being billed for continued membership on April 10th. 
  • The $200 membership fee is non-refundable (see clause 7.3 for extenuating circumstances). 

7.2 Cancelling a Wayfinding Membership

  • To cancel a Wayfinding Membership, written notice must be provided to info@wayfindingmusic.com.au at any time.
  • Cancellations will take effect at the end of the current billing month. Members retain access to all lessons within the month for which fees have been paid.
  • No refund will be issued for the current billing month (aside from under extenuating circumstances — see clause 7.3), as membership fees represent a commitment to a place in the program that may have been declined to other families.

7.3 Refunds in Extenuating Circumstances

  • Wayfinding Music understands that unexpected circumstances arise. Refund requests due to serious illness, injury, relocation, or other extenuating circumstances will be considered on a case-by-case basis at the discretion of the directors.
  • Requests must be submitted in writing to info@wayfindingmusic.com.au with relevant supporting information.

8. Lesson Delivery & Supervision

  • All lessons run for 45 minutes and commence and conclude at the scheduled time.
  • Wayfinding Music operates on Mondays and Tuesdays, 3:15pm–6:15pm, during the NSW school term, at Warriewood Community Centre East Hall, 2/4 Jacksons Rd, Warriewood NSW 2102.
  • Wayfinding Music cannot provide supervision outside of the allocated lesson time. Parents and guardians are responsible for timely drop-off and pick-up.
  • All sessions run in a group format of up to 10 students. All instruments are provided during sessions. Students are welcome to bring their own instruments if it is their preference. However Wayfinding Music reserves the right to refuse to permit students playing instruments that they bring in if they are too loud or otherwise undermine the safety and enjoyment of other attendees. For this reason Wayfinding recommends any personal instruments are the same type as those in our studio range (guitar, bass guitar, electronic drums, piano and keyboard). 

10. Child Safety & Compliance

  • Wayfinding Music is committed to the safety and wellbeing of all children in our care and adheres to the NSW Child Safe Standards.
  • All Wayfinding Music staff and contractors hold valid NSW Working With Children Check (WWCC) clearances prior to engaging with students.
  • Staff are required to maintain professional, appropriate, and transparent communication with students and families at all times.
  • Any concerns relating to child safety may be directed to info@wayfindingmusic.com.au.

11. Photography & Media Consent

  • Written parental or guardian consent is required before photographs or video recordings of students are taken or published.
  • Images will only be used for approved Wayfinding Music educational or promotional purposes and will never be published with student names attached without separate consent.
  • Consent may be withdrawn by contacting info@wayfindingmusic.com.au. Requests will be actioned within a reasonable timeframe.

12. Communication Guidelines

  • All administrative enquiries — including enrolment, billing, absences, and scheduling — should be directed to info@wayfindingmusic.com.au.
  • Staff may communicate with parents regarding lesson progress and practice guidance. All communication must remain professional, respectful, and child-safe.
  • Staff must not contact students directly without a parent or guardian included in the communication.
  • Personal social media or private accounts must not be used for lesson-related communication.

13. Property & Equipment

  • Wayfinding Music is not responsible for loss or damage to personal belongings brought to sessions.
  • Students must treat all studio instruments and equipment with care and respect. We understand that wear and tear is part of learning, and equipment breaks due to accidents — our only concern is the safety of all students in the space. Students/parents will not be made liable for equipment damages except for theft and intentional wrongdoing. 
  • Food is not permitted during sessions except when needed for medical reasons eg. diabetes. Water bottles are permitted during sessions; we just ask that students keep them away from any equipment or electronics. 

14. Privacy & Data Protection

Wayfinding Music collects and stores personal information for the purposes of providing music tuition, managing enrolments, processing payments, and maintaining accurate student records.

  • All payment information is encrypted and managed securely by Stripe. Wayfinding Music does not store full card details at any time.
  • Access to student information is restricted to authorised Wayfinding Music staff on a need-to-know basis.
  • Wayfinding Music complies with the Australian Privacy Principles (APPs) regarding the collection, storage, and use of personal information.
  • Families may request access to or correction of their personal information at any time by contacting info@wayfindingmusic.com.au.
  • Wayfinding Music does not share personal or contact information with external parties unless legally required (e.g. child protection or law enforcement obligations).

15. Policy Updates & Disputes

  • Wayfinding Music reserves the right to update these Terms & Conditions at any time. Families will be notified of material changes in advance.
  • The most current version of this document is always available upon request or at wayfindingmusic.com.au.
  • Any disputes will be handled by the Wayfinding Music directors in accordance with these Terms & Conditions.
